Participating as an exhibitor and/or sponsor at the 2010 Canon Law Society of America Convention in Buffalo, NY allows a company/organization to partner with the CLSA in our commitment to promoting the study and application of canon law in the Church.

If your company or organization wishes to participate at this year’s convention, please review the Information below along with the Exhibitor Registration Form and the Sponsorship Form. Registration deadline is September 17, 2010.
Set up may take place on Monday, October 11, 2010 after 9:30am in the Exhibitor Area of the Hyatt Regency, Buffalo, NY. Exhibit spaces must be completely vacated by 3:00pm on Wednesday, October 13, 2010. Exhibiting times are Monday, Oct. 11th from 1:30pm to 7:00pm; Tuesday, Oct. 12th from 8:00am to 5:30pm; and Wednesday, Oct. 13th from 8:00am to 3:00pm. The schedule below highlights likely visiting times.

Exhibit Space Specifications and Terms of Agreement
CLSA provides space during the Annual Convention as a service to its subscribers and other attendees. Exhibits are one way of providing information about services or programs that meet the needs of canon lawyers. At its discretion and without necessity of refund, CLSA reserves the right to refuse space to exhibits that would reflect negatively on canon law or that would not address the needs and interests of subscribers and other attendees. Floor plan, shipping and other information will be made available to registered exhibitors after due date.
Spaces are assigned by CLSA in conjunction with Nix & Associates, Inc. on a first-come, first-served basis as exhibitor registrations are received. CLSA reserves the right to reassign or adjust space as deemed necessary for the best interest of the convention.
Exhibit Reservation Fees, Deadline & Cancellation Policies
The fee for exhibit space is $450 for a single standard-size table, two chairs, a wastebasket and an identifying sign (which is to be returned). All food events during the dedicated exhibit times will be held near the exhibit area. The exhibit fee covers two persons and attendance at the Wednesday evening reception and banquet. An organization or company may have additional staff on site at a cost of $80.00 per person.
Each exhibitor representative is also encouraged to register for the convention; the discounted fee for exhibitor registration is $200.00 per person. Registrants can include his/her name in the provided space on the enclosed Exhibitor Form.
Full payment of all applicable fees is due with each exhibitor registration form. The deadline for registration is September 17, 2010 (postmarked date). Reservations are confirmed with payment.
Fees will be refunded for all written cancellations on or before Oct. 1, 2010, less a $50.00 processing fee. No refund will be granted to exhibitors cancelling after October 1, 2010; however, a substitute exhibitor staff member will be accepted.
Security & Liability
Security for exhibit materials while on display or in interim storage is the responsibility of the exhibitor. Each exhibitor assumes complete responsibility and liability for loss, damage and any claims arising out of injury or damage to the exhibitor’s displays, equipment and other property brought to the Hyatt Regency and shall indemnify and hold CLSA and its designated agents and employees harmless against any loss, damage or claim arising out of the exhibitor’s use of the Hyatt Regency; exhibitor may not be held liable for damage or injury occasioned by the negligence of CLSA or the Hyatt Regency or their designated agents and employees. CLSA’s sole responsibility is to permit each exhibitor to use its assigned exhibit space for the purpose and under the terms and conditions delineated.
Hotel Services & Shipping
Shipping & Supplies
Exhibitors are responsible for transporting materials to and from the Convention and other arrangements related to the exhibit, including any gratuities for services rendered onsite by the Hyatt Regency staff. Exhibitors are to bring their own exhibit supplies, such as tape, pens, photocopies, etc. Special arrangements must be made with the Hyatt Convention Services Manager for receiving any equipment, goods, display and other materials that will be sent, delivered or brought into the hotel. The hotel will assess a handling fee per package for incoming and outgoing parcels. CLSA assumes no responsibility for accepting or shipping materials. More information regarding shipping will be sent to exhibitors once his/her registration is confirmed.
Telephone & Electrical Service
The exhibit fee does not include hook-ups for electricity, internet or phone. Please indicate your need for these extras on your registration form, and the appropriate form from the Hyatt Regency Buffalo will be sent.
Exhibitors must be contained in their own areas and may not obstruct the general view. The posting of advertisements or other signs is prohibited. Distribution of materials is allowed only from exhibit table. Beyond products and business contacts, exhibitors may not in any way solicit funds from Convention attendees, and, except as authorized by CLSA, they may not schedule additional meetings for those attending the Convention.
The contact person for each exhibit must agree to comply with all applicable local laws and codes, as well as all of the above terms and conditions, to be onsite at the convention. The contact person must also communicate these terms to other exhibit staff.
